We are a Data Processor. We value your privacy, therefore this statement outlines our practices in relation to the collection and use of the information about you which is provided to us by either your visit to our website, or by the submission of your details to us.

This notice has been prepared in accordance the new Data Protection Act 2018 which incorporates the UK’s implementation of the General Data Protection Regulation (GDPR).

What personal data is collected?

In running and maintaining our sales website or Anytime booking software we may collect and process the following data about you:

  • Information about your use of our site including details of your visits such as pages viewed and the resources that you access. Such information includes traffic data, location data and other communication data.
  • Information provided voluntarily by you. For example, when you submit an enquiry or register for a demonstration of Anytime.
  • Information that you provide when you communicate with us by any means.

Personal data is any information which may be identifiable to a specific individual. The personal data collected from users may include:

  • Phone Number

No sensitive data such as health, religion or ethnic background is collected or disclosed by us and the website is not intended for use by minors.

Users provide information solely through enquiries and sign-ups made through the site, or by email or by phone to our offices, which include name and email address and contact telephone number. Email enquiries are held on record for a maximum 36 month period and can be removed on request in compliance with GDPR.

When you have an Anytime Account with us to manage your business

If you have an Anytime account, you are the Data Controller and we are the Data Processor.

When you are using Anytime to manage your holiday accommodation or activity centre, your guests will be booking with you using our technology through your website or via you over the phone.

We will use and store their personal information to complete the booking and update your Account. Your customer data is covered by your own business Privacy Policy.

As far as Anytime is concerned, we will treat the data we store on your behalf in exactly the same way as we treat our client data as covered by this Notice.

The details we collect from your guests at the point of booking will include their name, address, email address, phone number and the name, address, email address and phone number of any person they are travelling with (“Party”), where required.

By providing us with any personal information relating to members of their Party, they confirm that they have their consent to provide this information and to our processing it in accordance with this Privacy Notice.

When you are a guest booking with one of our clients (accommodation provider)

Whenever a booking is made via the Anytime system, we pass your data and information on to the operators or owners of the accommodation you are making the booking with. You should also refer to the privacy policy of the accommodation providers.

Security and retention of personal data

The security of data is treated very seriously by us and measures are in place to ensure personal data is not exposed and protected from unauthorised access. Users are also responsible in ensuring any sensitive data, such as usernames and passwords, are held safe and securely, remain private and are not shared with anyone.

Data shall only be retained for as long as necessary, which will vary depending on the type of data. Certain financial data will need to kept for a number of years to meet various financial and legal tax obligations, other data may be necessary for customer service reasons and reference. Any data not deemed essential to the running of the site or deemed past an appropriate length of time will be deleted and removed as an example, past enquiry records will not exceed a two year time frame prior to removal.

Where is my data stored?

We and our servers are based in the UK, so your personal information is stored in the UK.
